What is a work order

A work order is the document a service company — repair shop, workshop, installation, maintenance — opens for every job done for a client. It records who asked for it, what will be done, who will do it, what it costs and which stage the job is in, from request to delivery.

What goes in a work order

  • Client: name, phone, e-mail, document and the address of the visit.
  • Device: kind, brand, model, serial number and the defect reported by the client.
  • Service: the type of service, the description of the work and the estimated time.
  • Team: who will carry it out and the scheduled date.
  • Products and prices: the products and materials used, with unit and total price, added to the labor.
  • Checklist: the steps the team checks during the job.
  • Status: queued, in progress, completed or canceled.

How to fill in a work order

  1. Pick the client and, if needed, register the device with the reported defect.
  2. Describe the service, pick the type and set the team and the date.
  3. Add the products and materials: the total of the order is calculated for you.
  4. During the job, tick the checklist and move the status until it is done.
  5. Hand the documents to the client: the quote before the service, the work order and the receipt after payment.
